Who we are
ExcelmindIT is a platform for managing the Students Industrial Work Experience Scheme (SIWES). It is operated by [LEGAL ENTITY NAME], registered in Nigeria with CAC number [RC NUMBER], at [REGISTERED ADDRESS].
ExcelmindIT is an independent software product. It is not affiliated with, endorsed by, or connected to the Industrial Training Fund (ITF) or SIWES.
This policy explains what personal data we collect, why we collect it, and what rights you have. It applies to our website and to the ExcelmindIT platform.
Who this applies to
Four groups use ExcelmindIT, and we handle their data differently:
- Institution staff — school administrators, SIWES coordinators and supervisors at tertiary institutions
- Students — registered by their institution and using the ExcelmindIT mobile app
- Companies — organisations hosting students for industrial training
- Website visitors — anyone using our public website
What we collect
From institution staff: name, work email address, role, institution and department.
From students: name, matriculation number, institution, department, programme and level, placement status, uploaded documents, supervision records and logbook entries. Student records are created by the institution, not by the student.
From companies: company name, CAC registration details, contact person's name and email, location, placement capacity and stated requirements.
From website visitors: anything submitted through our contact or enquiry forms — name, email, institution or company, and the content of the message.
Automatically: standard technical information such as IP address, browser type and pages visited. [CONFIRM: what analytics or tracking, if any, is in use.]
Why we collect it
- To operate the SIWES cycle for institutions — registration, placement, supervision, documentation and completion
- To generate the Master List and Placement List in the format the ITF requires
- To connect students with companies offering placements
- To verify companies before they can participate in placements
- To respond to enquiries submitted through our website
- To meet our legal and regulatory obligations
The institution's role
Where an institution uses ExcelmindIT to manage its SIWES cycle, that institution determines what student data is collected and how it is used. We process that data on the institution's behalf and under their instruction.
Students with questions about their own records should contact their institution's SIWES coordinator in the first instance.
Who we share data with
- Institutions and companies, where a placement connects them. A company reviewing an application sees the student's course, level, institution and the information the student has chosen to make visible. An institution sees the placement status of its own students.
- Service providers who help us operate the platform, including hosting and communications. [LIST SUB-PROCESSORS.]
- Where required by law, or to protect the rights and safety of our users.
We do not sell personal data.
Where data is stored
[CONFIRM: hosting provider and data centre location. State whether any data leaves Nigeria and, if so, the safeguards applied.]
How long we keep it
[CONFIRM: retention periods for student records, company records, and enquiry form submissions. State what happens to an institution's data when their use of the platform ends.]
Payments
Where students or institutions make payments through ExcelmindIT, those payments are processed by [PAYMENT PROVIDER]. We do not store card or bank account details.
Security
We take reasonable technical and organisational measures to protect personal data against unauthorised access, loss or disclosure. [CONFIRM: describe actual measures — encryption in transit and at rest, access controls, and any other protections in place. Do not claim certifications you do not hold.]
Your rights
Under the Nigeria Data Protection Act, you have the right to:
